Release gate

Reconcile the records before the product moves forward.

A checked box means the evidence was compared—not merely present. If a required record is missing, conflicting or unreadable, record an owner and hold the decision until it is resolved.

1. Product identity

Confirm every record points to one product and one intended market version.

2. Formula and ingredients

Compare the label against the formula that production will actually use.

3. Allergens

Reconcile allergen signals across every ingredient and supplier document.

4. Artwork fundamentals

Review the complete package, not only the marketing panel.

5. Version and evidence control

Make the approval reproducible after the meeting ends.

6. Final release decision

Assign ownership and record the disposition before handoff.

Hold the release when:

  • The formula/specification and label describe different ingredients or variants.
  • An allergen source is supported by the evidence but not reconciled on the proposed label.
  • The final artwork or production formula cannot be identified by version.
  • Required evidence is missing, conflicting, partial or unreadable.
  • No accountable owner can document the final disposition.
Scope boundary: This checklist is operational decision support. It does not certify regulatory compliance, approve a label, determine whether a product is safe or replace qualified regulatory, legal or food-safety review.

Complete these fields on the printed or saved copy so the checklist stays tied to the exact decision.

Primary reference points

Use the regulator and guidance applicable to the product. FDA and USDA FSIS jurisdiction, exemptions and product-specific rules can change what must be reviewed.
